Counting On You: Laying the Foundation for Our New Inventory System

Hey Team,

As we get ready to roll out our new inventory management system, I’m stepping in to oversee a thorough manual inventory count. This count will be our baseline, giving us the accuracy we need to make the new system work as smoothly as possible. We might need a few rounds of this to hit the level of precision we’re aiming for, so I’m counting on each of you to bring your best focus and attention to detail.

The Plan: How the Count Will Run

Here’s how we’ll tackle this:

Write it Down: You’ll have paper to note each item’s brand, size, style, color, and any other key details. This isn’t just a list; it’s our foundation.

Organize by Category: Keep counts organized by school, color, or item category. For example, you might do one count for all S.C. McPherson skirts or another for green short pants.

Complete Counts Only: Do full counts whenever possible, no half-measures. Partial counts just make the process tougher.

Floor-Specific Details: If items are stored on multiple floors, make it clear. Write something like “green short pants, floor 1,” so we know exactly where each count is from.

Customer Service Comes First: We’re still here for our customers. If you’re busy with sales, I’ll keep that in mind when evaluating your count speed. Our priority is service, and we’ll work around high-traffic days.

> Heads Up! Please submit counts from earlier in the month by 11 a.m. on Monday, October 28th. You can hand in your sheets directly to Radesha or send her a clear photo, and she’ll handle the initial data entry.

Accountability and Contact

I’ll be off the island this week but am fully reachable on WhatsApp. I’ll also be tracking everything Radesha logs in real-time. Accountability here is key—accuracy and timeliness in your counts will reflect in your performance review. If you have any questions or run into issues, don’t hesitate to reach out to me directly.

Twice-Daily Check-In

Each day, submit your count sheets twice: midday and end of day. Radesha will log these, and I’ll review them periodically. Missing this check-in could signal a lack of progress, so stay consistent with these submissions.

Thank you all for being detail-oriented and dedicated during this transition. Your effort here is invaluable in setting us up for a more efficient, effective inventory process. We’re building something solid here—let’s do it right, together.
